This Privacy Policy explains how Inter Face™ Methods collects, uses, stores, and shares information when you visit our website, create an account, complete assessments, contact us, or use our platform.

Your use of the platform is also governed by our Terms of Service. When you create an account or continue using protected platform features, we may ask you to accept the current Terms of Service.

Comments

Public commenting is not currently enabled on the Inter Face™ Methods website. If we add commenting features in the future, we may collect the information submitted in the comment form, along with technical details such as IP address and browser information, to help prevent spam and abuse.

Media

General visitors cannot upload media to the public marketing site. Certain account holders, coaches, and administrators may upload files inside restricted areas of the platform where those features are available. Depending on your role and subscription, uploads may include profile photos, company logos, documents and meeting attachments (up to 50 MB), resumes, and audio recordings such as recorded calls or voicemails used with certain AI-assisted features.

Some uploads are transmitted to our AI provider for transcription or analysis, as described in the Generative AI-assisted features section below. If you upload material that contains another person's information, such as a candidate resume or a recorded conversation, you are responsible for having the right to submit it. Avoid including sensitive personal information or embedded location metadata unless it is necessary for the intended use.

Cookies

We use cookies and similar technologies to keep the site secure, maintain sessions, remember preferences, and support optional analytics.

Examples of cookies and related browser storage used on this site may include:

  • authentication and session cookies used to keep you signed in and protect access to your account;
  • security cookies such as CSRF-related cookies used to validate form submissions and AJAX requests;
  • preference cookies, including cookie consent and language settings;
  • temporary workflow cookies used during assessment or password reset flows; and
  • optional analytics technologies that load only after the relevant consent is provided.

Our cookie consent banner allows you to choose essential cookies only or to accept analytics cookies as well. Essential cookies are required for core platform functionality, security, authentication, fraud prevention, and account access. Optional analytics cookies help us understand site usage and improve the website experience. When analytics are accepted, we may record page visits, referrer source, campaign parameters, device category, language, and general browser signals. We do not store raw IP addresses in analytics records; IP addresses and visitor identifiers are hashed before storage. We also honor browser Do Not Track and Global Privacy Control signals by not recording analytics visits when those signals are present.

Embedded content from other websites

Some pages include embedded or externally loaded third-party content. This currently includes Wistia (hosted video on select pages), Calendly (scheduling), Google Fonts, and content delivery networks such as jsDelivr, cdnjs, and ajax.googleapis.com that serve common scripts and styles. Most instructional and service videos are hosted by us directly and do not involve a third-party video provider.

When you interact with embedded content, the third-party provider may collect information about your device and activity, set cookies, or track your interaction according to its own privacy practices.

Who we share your data with

We share personal information only when it is necessary to operate the service, communicate with you, process transactions, secure the platform, or comply with legal obligations. The service providers we currently use include:

  • Mailgun for delivering email, including account, security, billing, and marketing messages;
  • Stripe and PayPal for payment processing. We never store your card numbers; we keep only processor tokens, transaction records, and billing contact details such as postal address;
  • Google Cloud Vertex AI for generative AI processing, as described in the Generative AI-assisted features section below;
  • Google reCAPTCHA to protect registration and contact forms from abuse; and
  • Wistia, Calendly, Google Fonts, and script content delivery networks, as described in the embedded content section above.

We may also disclose information when required to comply with a legal obligation, enforce our agreements, or protect the rights, safety, or property of our users or the platform.

If you request a password reset, information required to complete and secure that request may be included in the reset workflow.

Surveys, 360 feedback, and coaching notes

Survey and 360-degree feedback features are operated on a related survey system. When you are enrolled in those programs, your name, email address, company information, and login credentials are provisioned to that system so you can access your surveys.

360-degree feedback responses are collected anonymously. We do not store the identity of individual raters. Participants share an access code directly with the people they invite, and stored responses include only the rater's working relationship to the participant, years known, ratings, and any written comments.

Coaches and facilitators may record meeting and coaching notes about program participants, including file attachments. Whether a note is visible to the participant or the participant's supervisor is controlled by sharing settings chosen when the note is saved.

Marketing emails and how to unsubscribe

We send transactional email related to your account, security, and billing, and we may send marketing or program announcements to eligible users. Every marketing message includes an unsubscribe link, and using it sets a preference on your account that stops future marketing email. Transactional messages are still sent because they are required to operate your account.

If you subscribe to our blog newsletter, each newsletter includes its own unsubscribe link that removes you from that list.

Generative AI-assisted features

The platform includes a suite of generative AI-assisted features powered by Google Cloud Vertex AI. Depending on your role and subscription, these include Daily Inter Face™ Methods Tips, message rewriting, sales and communication generators, coaching and preparation tools (including interview preparation and resume analysis), meeting note summaries, interactive practice exercises, and a multi-turn AI chat assistant with a per-conversation turn limit. We also use Vertex AI to screen contact form submissions from any site visitor for spam and abuse before we act on them.

When you use a generative AI feature, we send the text you provide, selected Inter Face™ Methods profile context, and the instructions needed to produce the requested output. For certain tools this can include files you upload, such as resumes or audio recordings (for example recorded calls or voicemails) that are transcribed and analyzed. Uploaded material may contain information about other people, such as a job candidate, and you are responsible for having the right to submit it.

Vertex AI is a Google Cloud enterprise service that is separate from consumer Gemini products. Google Cloud states that it will not use customer data submitted to Vertex AI to train or fine-tune Google AI or machine learning models without the customer's permission or instruction.

Vertex AI processes prompts, context, and responses to provide the requested output and may apply runtime safety, security, and service controls. We do not intentionally enable Vertex AI request-response logging or context caching for these features. If optional Google Cloud logging, caching, tuning, or managed-agent features are later configured, related data would be stored within our Google Cloud project or associated storage under our configured access controls and retention settings.

For most AI tools, the input you provide and the generated output are saved automatically to your account as tool history when the output is generated so your results can be shown to you again. You can delete individual saved history entries from within each tool. Message Rewrite outputs are returned in your browser and are not stored. AI outputs may also be saved onto related worksheets in your account. Saved AI history is retained until you delete it; we do not currently apply automatic time-based deletion. Limited technical, security, access, and error logs may be retained to operate and protect the service, but our application avoids logging full AI prompt or response bodies in error logs.

For capacity planning and cost management we record the model used, the tool used, and token counts for each AI request. These usage records do not include your text or your identity.

AI-generated content can be inaccurate. Review and verify any AI output before you rely on it or share it.

How we protect your information

We use technical and organizational safeguards designed to protect your information, including:

  • encrypted connections (HTTPS) across the site and platform;
  • passwords stored using one-way cryptographic hashing, never in plain text;
  • analytics identifiers and IP addresses hashed before storage;
  • no storage of card numbers; payments are handled by our payment processors;
  • role-based restrictions on who can view participant data;
  • protections against request forgery, abusive traffic, and automated abuse; and
  • authenticated, service-account access to our AI provider.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we work to protect your information using measures appropriate to the risk.

How long we retain your data

We retain information for as long as needed to provide the platform, maintain business and tax records, enforce agreements, resolve disputes, and meet legal, regulatory, or security obligations.

Automatically saved AI tool history is retained until you delete it. Generated assessment reports are retained while your account is active, and certain report types are archived after approximately three years. Records of Terms of Service acceptance, including IP address and browser information, are retained to document acceptance.

For account holders, we may retain registration details, profile information, assessment responses, reports, payment-related records, administrative logs, and related platform data while the account remains active and for a reasonable period afterward where required for legitimate business or legal purposes.

Contact form submissions and support communications may be retained to respond to requests, improve service, and maintain internal records.

What rights you have over your data

Depending on your location and applicable law, you may have the right to request access to personal information we hold about you, request corrections, request deletion, object to certain processing, or ask for a copy of information you have provided to us.

These rights are not absolute. We may retain information where necessary for legal compliance, security, fraud prevention, contractual obligations, recordkeeping, or other legitimate business needs.

You can delete individual saved AI tool history entries yourself from within the platform. Other requests are handled through the contact methods below.

Where your data is sent

Information submitted through the website or platform may be processed by Inter Face™ Methods and by service providers that help us operate the site and platform. Depending on the service involved, your information may be transferred to and processed in the United States or other jurisdictions where our providers operate.

Survey and 360-degree feedback features are operated on a related survey system that receives your name, email address, company information, and login credentials so you can access assigned surveys. Our systems and providers process data primarily in the United States.

Information we collect directly

The information we collect depends on how you interact with the site. It may include your name, email address, phone number, company information, account credentials, survey or assessment responses, communication preferences, and any information you choose to submit through forms, support requests, or platform features.

For certain programs we also collect information used for program administration and reporting, including date of birth, sex, race or ethnicity, emergency contact details (name, relationship, phone, and email), and billing contact information such as postal address for purchases. We use these details only for the purposes for which they were collected.

When you accept our Terms of Service, we may record your account identifier, the Terms version accepted, the date and time of acceptance, IP address, and browser or device user-agent information. These records help us document acceptance, apply current platform terms, and protect the service.

How we use your information

We use information to provide and improve the platform, create and manage accounts, generate reports, communicate with you, respond to inquiries, process payments, maintain security, prevent misuse, screen contact form submissions for spam and abuse, send marketing and newsletter email where permitted with the ability to opt out, document and enforce accepted Terms of Service, comply with legal obligations, and measure site performance where consented analytics are enabled.

Children's privacy

The platform is intended for adults and business use. You must be at least 18 years old (or the age of majority in your jurisdiction) to create an account. The service is not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

Changes to this policy

We may update this Privacy Policy from time to time. The date at the top of this page reflects the most recent revision. If changes materially affect how we handle your personal information, we will provide notice through the Service or by email. Your continued use of the platform after an update means the revised policy applies.
